STEP 1 - Cancel / Postpone Setup (5 min)

  • A. Removing event from event search page

    • Login to request portal
    • Edit your event request and navigate to GMSS Edit Section
    • Update the following values, which helps to remove the events from the events search page.
      Do you want to Publish this event on Events.Oracle.com now? = DO not publish Event
      Is the event live on Certain? = No
      is the event Ready to be published on Events search ? (this will not publish the event) = No
    • Apply changes.

  • B. Unscheduling the Reminder Email

    This section describes how to remove/unschedule the reminder notification from the scheduled queue

    • Navigate to Email templates section and edit the Event Reminder Notification Email. And uncheck the option for "Schedule this Email?", which helps to remove the scheduled email from the scheduled queue
    • Save the changes
    • Navigate to Promote--> Scheduled Emails under Communication section and ensure Reminder notification emails get removed from the queue

STEP 2 - Update Welcome Page (10 min)

In this section, we will learn how to update the welcome page with cancel / postpone note.

  • Navigate Promote module, click Websites --> Web2.
  • Edit the code in Dreamweaver and select the Registration section and replaced with the cancel/postpone note as shown below.

  • Update (or requester will provide) the top of the welcome page with the following text: "This event has been canceled. We apologize for any inconvenience and look forward to seeing you at future events in your area." or "This event has been postponed. We apologize for any inconvenience."

STEP 3 - Send Notification to Registrants (15 mins)

  1. Under the Manage module, click Registrations.
  2. Select all registrants by clicking the total count.
  3. Under the Actions menu, click Compose Email.
  4. Select the notification template from the drop-down list.
  5. Edit the content based on the postpone or cancellation notification content below:

    If CANCELED: Due to unforeseen circumstances, [EVENT_NAME], scheduled for Day, Month, Date, has been canceled. We apologize for any inconvenience and look forward to seeing you at future events in your area.

    If POSTPONED: Due to unforeseen circumstances, [EVENT_NAME], scheduled for Day, Month, Date, has been postponed. We will be notifying you when the new event date has been finalized. We apologize for any inconvenience and look forward to seeing you when the event has been rescheduled.
  6. Review the content and click Send Email NOW to trigger the notification.
